We are seeking a highly organized and detail-oriented Lease Administrator to join our company. The successful candidate will be responsible for supporting the leasing team in all aspects of lease administration, ensuring accurate and timely management of lease documents, tenant communication, and compliance with lease terms and conditions.

Job Description
  • Perform administrative duties and support to Leasing team
  • Maintaining the leasing & marketing databases
  • Preparation of lease documentations and other related documents, tracking of lease status and timely maintenance of tenancy records
  • Liaise with various parties on lease-related matters such as tenants, lawyers, IRAS, HDB, JTC,.. etc on lease-related matters
  • Provide support for meetings and preparation of weekly and monthly reports
  • Liaise and co-ordinate with Leasing team as well as other departments to ensure timely execution and return of tenancy documents by Tenants
  • Monitor lease expirations and renewal opportunities
  • Assist in the onboarding process for new tenants, ensuring all necessary documentation is completed and submitted
  • Track and ensure timely follow up of financial transactions such as lease payments, refund of security amount, etc
  • Record and reconcile all audited sales report and GTO billing, if required
  • Any other assigned duties
Requirements
  • Diploma in Building Estate Management, Business Administration or its equivalent with at least 2 years of relevant experience are preferred
  • Proficient with Microsoft Office
  • Strong communication and written skills

Job Description
  • Formulate leasing strategy to target desired trade mix
  • Proactively generate leads & manage the entire sales cycle from leads to negotiation to closing deals
  • Identify market segments and prospects and liaise with property agents
  • Implementing strategies to maximize rental and occupancy of the properties
  • Deliver sales presentations & conduct viewings with potential clients
  • Accountable for rental and occupancy rate for the assigned lease portfolios

Job Description

Property Management Coordination:

  • Coordinate property maintenance, repairs, and inspections in collaboration with property managers and vendors
  • Assist in tenant communication, addressing inquiries, concerns, and lease-related matters
  • Support the leasing process by preparing lease agreements, conducting background checks, and facilitating move-ins and move-outs
  • Monitor and ensure compliance with property-related regulations, codes, and standards

 

Administrative Support:

  • Handle incoming inquiries and communication from clients, tenants, vendors, and other stakeholders
  • Manage calendars, schedule appointments, and coordinate meetings
  • Prepare and maintain documentation, reports, and contracts related to real estate transactions
  • Assist in maintaining databases, records, and filing systems for properties and clients
  • Handle basic accounting tasks, such as invoice processing and expense tracking

 

Communication and Collaboration:

You will support the Operations Manager in managing effective operations and maintenance of our retail mall.

Job Description
  • Conduct regular meetings with councils/owners, including Annual General Meetings where required, and prepare minutes for record-keeping
  • Supervise all routine and ad-hoc repair works carried out by term contractors to ensure compliance with contract specifications
  • Coordinate with contractors for routine servicing and emergency repairs, providing ongoing maintenance and engineering support for the shopping mall
  • Manage carpark related operations, including collections and refunds
  • Perform any other duties as assigned by the immediate supervisor or management
Requirements
  • NITEC in Building Services, Engineering, or a related discipline
  • Minimum of 2 years' experience in facilities maintenance

Job Description
  • Manage and attend to all feedback and service requests in a timely manner
  • Coordinate operation programs and execute maintenance works to ensure the mall operates at optimum level
  • Assist Operation Manager in preparation of Operations annual budget, manage and administer all maintenance contracts and supervise expense for the operational needs of the mall
  • Conduct regular inspections of all common areas, public walkways, building surrounding facade and following up on outstanding works
  • Co-ordinate Tenancy fitting-out works and manage term contractors' work
  • Lead the technicians and manage vendor services to achieve the required professional standards in day-to-day operations
  • Liaison with government authorities/ statutory boards and other divisions on matters relating to management and maintenance of the mall/building
  • Ensure all facilities are maintained and managed in full compliance with all statutory requirements
  • Preparation of all necessary maintenance reports, incident report accurately and on time
  • Part of Company Emergency Response Team (i.e. Site Incident Controller, First Aider, etc)
  • Part of Environmental Health Safety (EHS) team for review & approval of permit to work (PTWs), risk assessment, safety checks/audits of the mall
  • Any other duties assigned

  • Liaise with advertising agencies, contractors, event companies to assist in campaigns and marketing collaterals
  • Work closely with Leasing department in the leasing of concourse space, pushcart, and advertisement space
  • Develop presence in social media platforms and integrate marketing events or promotion online
  • Keep abreast with the latest marketing technologies and trends to uncover new marketing opportunities
  • Monitor expenses and adhere to budget allocation
  • Makes recommendations on best practices within chain
  • Proactively monitor campaign ROIs, derive actionable insights and take prompt actions to conduct A/B testing and optimize marketing performance
Requirements
  • Diploma/ Degree in Business, Marketing, Mass Communication, or relevant field
  • Min 3 years of experience in similar position, preferably with experience in retail environment
